Log in – Front Office – Reservation – Confirmation Detail – Select “View Quick Tasks

Summary

The Quick Tasks allows you to manage the internal tasks/requests from the guests. The tasks that are created from this screen will be linked to the Task Management application.

Fields Description

1. List of tasks

Information about guests and confirmation (1):

  • Confirmation Number: Confirmation Number assigned to the reservation

  • Arrival: Arrival Date assigned to the reservation

  • Departure: Departure Date assigned to the reservation

  • Room: Room Number assigned to the reservation

  • Guest name: Name of the Guest

  • Special request: Special requests from the guests

Details of quick tasks (2):

  • Created At: Date & time when the task is created

  • Guest: Name of the main guest

  • Task Name: Brief description of the task

  • Task ID: ID of the task (Note that the prefix is the shorten of the department. For example: HK (Housekeeping), RN (Runner))

  • Status: Status of the task

  • Assignee: Name of the employee to whom the task is assigned

2. Add a new task

Click the button “Create Quick Task” to add a new quick task

  • Department: Departments that are responsible for the task. Select from the Departments list of values.

  • Task Name: Brief description of the task

  • Confirmation Number: Confirmation Number assigned to the reservation

  • Room: Room Number assigned to the reservation

  • Guest name: Name of the main Guest

  • Due Date: Expected due date of the task

  • Task Description: Description of the task

  • SLA (minutes): Expected SLA (Service Level Agreement) of the task

  • Start time: Start time of the task

Select “Save“ to create the task or “Cancel“ to skip.

Remarks

After creating, the task will be sent to the Task Management of the corresponding department to follow up.
