Summary

The screen allows to manage and track booking requests by current date.
Staff keep track of planned pick-up/drop-off work and handle issues arising during the current day

Fields Description

1. [Calendar] - View as a calendar/table

Displays a grid of schedules and available pick-up tasks divided by driver in charge and time frame

Task information displays as below

  • Status:

    • New

    • In Progress

    • Hold On

    • Done

    • Complete

    • Cancel

Tasks with "Complete" or "Cancel" status cannot be edited/deleted and can only be viewed

  • Task Code

  • Guest Name

  • Pickup time

  • Confirmation No.

  • Pickup Location. With the type of task is "Pick up", the pick up location is the airport or pier / bus station, with the type of task is "Drop off", the pick up location is the hotel.

Do the following steps to update tasks:

Select Task, the system displays details of the task and the user can edit and update the information for the selected task

  • Task Code

  • Status:

    • New

    • In Progress

    • Hold On

    • Done

    • Complete

    • Cancel

If a booking is cancelled from the FO module, all pick-up/drop-off tasks associated with that booking will be automatically cancelled and have a default cancellation reason of "Cancelled booking"

  • Assignee: Assign a pick-up driver. Select a driver from the driver list of the Transportation Management module.

  • General Information: Inherited from the booking of FO module, if the booking has a change, it will automatically update information for pick-up/ drop-off tasks

    • Party No: IT No. From FO module

    • Guest Name

    • Phone Number

    • VIP code

    • Nationality

  • Arrival – Departure Information

    • Flight No.

    • Arrival Date time

    • Pickup Location: For the "Arrival" type, the pick-up location is the airport or pier/bus station. Only visible with the task type as "Arrival"

    • Drop Off Location: For the "Departure" type, the drop-off location is the airport or pier/bus station. Only visible with the task type as "Departure"

    • Pickup Time

    • Adults

    • Children

    • FOC (Free Of Charge)Number of guests with free pick up service

    • Total Pax: Total guests = Number of adults + Number of children + FOC and should always be greater than 1

    • Car Type: The type of vehicle used to pick up passengers. Choose from a list of hotel vehicles

    • Car Plate: Select the license plate used to pick up/drop off guests from the list of hotel/resort license plates

  1. Search engine:

  • Select the date shown above to select the date to review the information

  • [Filter]

o Allows filter by employee name, task status, is search by entering keywords

2. Task Management

The screen displays the number of tasks according to the list of employees in the department, for tasks that have not been assigned to employees will be in the "unassigned" section. Allows dragging and dropping tasks on the Board View screen to the list of department employees displayed on the screen.

3. Do the following steps to update task

o Right-click any task on the Board View screen

Edit, update information for each task then select "Save" to save the edited information, select "Cancel" to undo the information.

4. [List View]

To switch the Board View screen to List View click on the right corner of the screen

  • Display the list and status of pick-up/drop-off tasks

  • The List View screen allows displaying tasks whose arrival date is the current date (default: the list is displayed by the current date), statistics the number of tasks by status and by each employee who has been assigned to perform the task.

  • Daily task management:

For tasks that have not been assigned to drivers, it will be showed up in the "Unassigned" task list.

  • Quick assign to drivers

The "List View" screen allows quick assignment of tasks to the driver without going to the details of each task.

Select the drop down list after each task on the screen.

The display of the list of employees, selecting the employee to assign the task, after completing the task disappears from the item "Unassigned" and displays according to the list of jobs by the name of each employee.

  • Quick assign car type

Select the vehicle drop down list after each task on the screen.

o The screen displays a list of vehicle types, selects the vehicle type, and then selects the vehicle type of vehicle type for the task.

->Corresponding to each type of vehicle such as 4 seats, 7 seats will be accompanied by a list of vehicles by license plate to choose from.

  •  Search the history of task

    Select to search and manage past date information.

  • Search for task information

Allows filter by employee name, task status, is search by entering keywords

Do the following steps to update task

Click any task on the List View screen to edit the information

Displays task details, allows editing information and saves

Select "Submit" to save edited information.
